What's New in Technology


Salesforce

We put a lot of new things into production this month, and we’ve got several other big pieces in final acceptance testing—fingers crossed, we’ll have them in production before the end of August. Version 3.5 of the new production worksheet/workflow is in final test and we’re also testing fixes to the production COD workflow, and (hopefully) the last of the time zone-related issues. Those time fixes also allowed us to roll out an enhanced calendar experience for our reporters. 


HusebyConnect

Zoom’s development team continues to work on performance problems with their toolkit, but they say it’s going to be October before those are ready. Our Esquire partners are leveraging their significant relationship with Zoom and are asking them to address those issues more quickly. Our Esquire teammates have identified three phases of high-priority initiatives that will potentially position HusebyConnect as a long-term preferred solution for the whole company. Our development team is currently making great strides on Phase 1 of those.

IT

We have a big piece of news from the IT team: We’ve implemented organization charts in Teams for all of Team Huseby and for each of the LATs! Now you can quickly see who’s on what team in each LAT and what their availability is. You can find the org charts in Teams if you look in the Org Chart channel under Team Huseby. Once you’ve displayed one of those charts, just click on any of the people in the chart and select the “info” icon, and it will show you the person’s information as well as their availability. From those screens you can even chat and book meetings.

As always, we continue to replace/upgrade computers and laptops on a specific schedule. And, we’re continue to work with our Esquire teammates to find ways for us to leverage the resources we share so that we can provide safe and robust tools with good performance.

    Real-time GP and Cost of Goods Sold sync with NetSuite

    Our financial information is now all contained in our official system of record, and financial reporting can be done more quickly with fewer errors

    Auto-assign / tracking of recommended resources tested, still applying final tweaks

    Resources are recommended for jobs based on ranking that takes into account how much they're used, if the work is appropriate based on the client and the job type, and whether they're VIPs or our internal Digital Reporters. That makes it easier and quicker to pick the best person. It also tracks the assignments to help us improve the selection flows.

    Added Kickoff Host as a resource type

    Jobs that require that one of our remote depo resources kick it off can now be set up in a way that makes it clear that's what is happening, while allowing another resource to be a reporter, videographer, etc. as needed.

    Got all digital reporters set up with Esquire software/security so they can do academy

    Our Digital Reporter team is becoming more quickly integrated with our Esquire teammates and is able to take advantage of an Academy for training, as well as being given access to Esquire's hardware, software, and support.

    Added Federal Case indicator

    Clearly marking a case as Federal helps all our teams to produce, bill, and collect it more quickly with fewer errors because it helps them be aware of requirements specific to Federal cases.

    Added NCIC Hearing as a special designation

    We recently won a contract with the NCIC. Those jobs have special handling at many spots across the lifecycle. By adding this special designation, all our teams know to use that special handling. That reduces errors/redo, gets the work done more quickly, and improves customer satisfaction.

    Added large package type for deliverables

    Now we have accurate production work steps and invoice lines for shipping large packages through delivery services other than FedEx.

    Made standing orders use the “relevant to” field on the related records instead of on the standing order record

    Standing orders that are relevant to the job being processed are being pulled in from related objects like reporters. That lets Billing see all orders that might affect what is invoiced and where the invoice goes.

    Filtered “COD Waiting on AR/Invoice” out of late job email sent to reporters

    Our reporters are no longer getting late notices for jobs that are still waiting for a COD to be paid.

    Fixed issues with orders getting the wrong “sold to” contact

    Orders now have the correct contact for billing, making sure the right customer gets the invoice and saving time for our production, billing, and collections teams

      What's New in Operations

      Production Update: Last month (July) we shipped 2085 jobs. That includes 271 expedites.

      Elizabeth Moore lead all production people with 206 jobs shipped through Salesforce. Thanks for leading the way Elizabeth!!!! Special Kudos to the Mid-Atlantic LAT for having the lowest average time to ship last month 1.2 day 58% of the jobs shipped in less than 1 day.


      Video Update: 25 video edit projects many of them clients going to trial.


      Support Update: Support processed 1613 new business emails that included 236 copy sale request emails. They also processed 473 Urgent requests from clients, reporters, and internal staff.


      Quality update: 181 issues were reported through the ticketing system. After investigating 41 of these where in the production department. All of the July production issues have been researched and closed. You can view this report to understand the issues and resolutions.

      Number one issue was attention to detail, and all the staff have received coaching to address it moving forward. We identified 5 system issues the development team is focusing to resolve.


      Case Management: Stephani celebrated 6 years at Huseby on July 9.

      The same cases from this quarter all still scheduling well. Tobacco calendar thick and meaty, as always.

      Hulu LLC et al. v. Epix Entertainment – Mark Poelzer brought in this arbitration with realtime, roughs and expedited finals

      Temsa Ulasim Araclari Sanayi Ve Ticaret A.S., v. Tc Nevada, LLC et al – new case brought in by Meg Linton with depos set out into August

      Sun-Air of Scandinavia A/S vs. Jet Support Services, Inc. – Mark Poelzer’s case that’s been on calendar since December 2023 is back on calendar in with five more depos in August

      Lion Electronic Co. v. Nikola Corp. – brand new case from Bobby J with five in person depos calendared for August.

      It is not often that I recommend a business to anyone, as I generally stay neutral, but I really wanted to give a huge thumbs up and shout out to Huseby Reporting Services. I have used them on MANY occasions and they have gone above and beyond to make sure that our needs were met and transcripts were NOT delayed.
