What's New in Technology

IT

We completed moving totally off RingCentral onto Zoom. Our team has adapted very well to that—thank you! We also moved off Cylance onto Cybereason for our real-time security detection and response, and that move happened with no issues. We found problems with our Kofax service and worked with Kofax to get it back online.  We got the Kofax server fixed on 2/24 and are able to print on one of the printers. We’re reaching out to Canon to get their help finishing the setup on the other printers and expect to have them done before the end of February. We’re going to continue to make changes to our infrastructure to fix technical issues and to allow us to fully integrate into the existing Esquire infrastructure, including replacing things like wiring and switches in all our offices the near future.

As a reminder, we’ve moved to an in-house help desk, and here’s how to get support: Send an email to support@esquiresolutions.com, including as much detail as possible, and it will automatically create a help desk ticket. We’ll get quicker help if we make sure we avoid generic subject lines “Help!” or “Computer Issue”—please make the subject line give some detail about the true problem. If you have something that’s truly urgent, or if you can’t send an email, please call the team at (877) 223-8080. Please only call the team if this is a truly urgent matter, otherwise let’s all use email to open a ticket. Our coverage is from 8am-8pm Eastern time M-F, and we’ve worked with individual teams on after-hours coverage for high-impact emergencies.

Salesforce

We pushed out a lot of fixes and enhancements to Salesforce. We made more changes to fix time issues that surfaced and are preparing to roll out automatic handling of “appearance only” jobs and the updated production worksheet. We’re moving our focus to high-priority break fixes, and we’ve spent significant time designing and planning changes that will move many of the enhancements we made to Salesforce for our Marketing and Sales team into the Salesforce instance that our combined companies are going to use.



What's New in Operations

Production Update: Last month (January) we shipped 1780 jobs. That includes 332 expedites.

Elizabeth Moore lead all production people with 254 jobs shipped through Salesforce. Thanks for leading the way Elizabeth!!!! Special Kudos to the Mid-Atlantic LAT for having the lowest average time to ship last month @ 1 day and to the Florida LAT who shipped 73.2% of their jobs the same day they were turned in. 

Video Update: video department is training new staff member, and working on video edit projects as they come in. Last month the team completed 14 video edit projects compared to 4 in December 2024. 

Support Update: Support processed 11379 emails in January. 1421 new business emails that included 180 copy sale request emails. They also processed 144 Urgent requests from clients, reporters, and internal staff. We also escalated Sarah Jarvis to a Special Ops role to focus her efforts on providing excellent service to select clients. 

Quality update: 238 issues were reported companywide through the ticketing system in January. You can view this report to understand the issues and resolutions.

Production issues counted for 62 of these issues. The number one cause is attention to detail. , and all the staff have received coaching to address it moving forward. 

Case Management: Just got a new large case from Alston & Bird, brought in by Lauren Ladenheim - The Discovery House v. Cigna. Three depos scheduled so far with the full boat of services - real-time reporter, roughs, expedited finals, video, hot seater and ShareFile folder set up for multiple parties - expecting many more depos as well. The McBride Fire Consolidation Litigation is expected back on calendar as well, with the double the amount of depos as last year. McBride would double and triple tracks many times during a particular week so it will be on CM hands on deck when that's back on! The Huseby CM team will now join forces with Esquire's CM team, with Tanya Swenson at the helm - we're all very excited to join their team and further enhance the client experience! 

Projects:

Integration with Esquire is moving nicely. Working with new payroll and HR systems is working great.

Working with IT to get the ability to scan exhibits working again.

Working with Special Ops division to best service high value clients.

New employee onboarding and training.

New Smart depo AI summary process for all depositions.
