Welcome to Huseby Talk

July 2024 Newsletter Edition

What's New in Technology

Salesforce

We’ve deployed a fix for the time issues on the reporter portal and are tracking down one last issue we see internally. We also got several improvements in production in Salesforce, see the table below for details. We completed 2 versions of a new production worksheet/workflow and continue to incorporate feedback from the Huseby and DEG teams to improve it before rolling it to full production. We plan to have version 3 in production within the next couple weeks. We continued to implement enhancements in NetSuite and Salesforce to support our ability to integrate them. Before the newsletter next month, we also expect to have the new production worksheet, significant improvements to calendar functionality for us, our resources, and our customers, and we will have real-time integration of all our accounting data between Salesforce and NetSuite.

HusebyConnect

Zoom’s development team continues to work on performance problems with their toolkit. Our Esquire partners have deep connections into Zoom and are providing additional visibility and prioritization to them to address those issues. In the meantime, we continued work to move HusebyConnect from ShareFile to the OneDrive our teams have been using. We also continued work on our project to automatically push updates to remote event information (e.g. attendees, date/time changes) from Salesforce to HusebyConnect so that the rooms and links can be automatically updated and then pushed back to Salesforce. Those initiatives will reduce the amount of time we’re having to spend on handling remote events, and will reduce errors—which improves our relationships with our customers and resources. Our new Esquire teammates are working with us on identifying several high-priority initiatives to determine how those may fit into the roadmap for projects each of our teams are working on. Stay tuned for future updates on those.

IT

We continued our schedule of replacing older computers and laptops and we’ve upgraded wifi access points in the Charlotte office to improve network performance. We’re working with our Esquire teammates to get projects in place to improve the security and performance of all our infrastructure, and to improve our help desk and support responsiveness.

    What's New in Operations

Production Update: Last month (June) we shipped 1920 jobs. That includes 271 expedites.

Elizabeth Moore lead all production people with 221 jobs shipped through Salesforce. Thanks for leading the way Elizabeth!!!!

Quality update: Production logged all issues reported through the new ticketing system in salesforce. We documented 27 Production issues. The top 2 Production issues reported was

    1. Production - Send files to client notify Video dept with 6 instances.
    2. Production - Create production worksheet

From these 2 issues multiple people received addition coaching, two cross department communication issues were able to get worked out and a known Salesforce issue got more attention.

Case Management: Notable cases in the month

In Re McBride Fire Consolidated Litigation – Mark Poelzer brought this multiparty litigation with nearly 20 depos, scheduled out into August. Lots of moving parts with nearly all depos taking place in person across many cities, with expedited finals.

    New to Salesforce

Here’s a summary of the key items we’ve put into Salesforce production since the last newsletter.

    Issue

    New Functionality

    Benefit

Some cases involve multiple customers that may be supported by different sales reps. The current commissions process on Salesforce doesn’t provide a way to allow reps to share commissions.

    Split Commissions / GP

Allows our teams to share credit for their work, provides reports to help reps ensure commissions are split correctly and supports teamwork.

Some COD jobs couldn’t be moved from production to “Ready for Billing”.

Add COD Components to push to billing

Jobs that were “stuck” in production can now be moved to billing so they can be invoiced

Copy/back orders that had been marked as expedited would appear to have duplicated work orders in production.

    Fix Issues With Copy/Back Orders

General work orders are hidden, eliminating the impression that duplicate work orders were created

Got an unhandled fault on transcription back orders.

    Fix Issues with Back Orders

Transcription back orders can now be quickly moved from production to billing.

When a resource added a new party to the system that required us to link to a contact, the products were missing information. It also caused an unhandled fault when trying to move the work order from ‘Ready for Production’ to ‘Ready for Billing.’

    WOP Products Added Correctly

Products now have all the correct information and the orders can be moved to billing.

We were missing opportunities to use our Digital Reporters on bench/jury trials, and sometimes the remote event setup information wasn’t getting completed properly.

Reports for Bench / Jury Trials and Remote Setup

We have reports that let us see jobs that could be a good fit for Digital Reporters so that we can help our scheduling team find those matches. They also let us make sure the remote setup information is getting completed. That all works together to help us more effectively use our Digital Reporter team.

Couldn’t see start dates on copy orders in multiple list views.

Add Order Witness to Copy Orders

Adding the witness from the original order to a copy order allowed the event start date to appear on all the list views for copy orders.

      Welcome Danielle to the Team!

Danielle Pope is our newest sales rep in Florida.  Here is a little more about Danielle...

      Hello everyone,

I’m Danielle, Huseby’s newest Account Manager for the South Florida area. Born and raised in sunny South Florida, I’ve navigated a diverse career journey. After graduating from Nova Southeastern University, I began in litigation sales—a rewarding experience. However, unforeseen circumstances led me to transition into IT staffing sales during the COVID-19 pandemic. While it wasn’t my true passion, I gained valuable experience in sales.

I decided to see what else was out there and using LinkedIn’s open-to-work feature, I discovered Huseby. I’m thrilled to join a team where my passion for assisting legal teams with court reporting, litigation, and trial solutions can flourish once again.

On a personal note, I’ve entered a new chapter as a mother to my 7-month-old son, Ace. Spending time with my family brings me so much joy. When time permits, I love exploring new destination Switzerland remains my favorite travel memory so far. Staying active is also a priority; I’ve recently started doing F45 classes, but I also enjoy running outdoors when the weather is nice.

I’m excited to bring dedication and enthusiasm to my role at Huseby, collaborating with legal professionals to provide top-notch solutions.

      Welcome to the team Danielle!

      Welcome Brenna to the Team!

Brenna Skalski is our newest sales rep in Georgia. Here is a little more about Brenna...

      Hello Huseby People!!

My name is Brenna Skalski, and I am so, so excited to be a part of the team. 😊 I live in Peachtree City, GA (south of the ATL airport) with my husband and two dogs: Rocky and Drago. I was a paralegal for several years in Atlanta before selling court reporting for two years for another company.

I played softball at Georgia State University and graduated in 2018 as an All-American. Woo woo! I am happily retired from softball now, though. I play pickleball in my free-time and am very, very passionate about it. I would love to play professionally one day.

Some of my other hobbies include studying Russian (my husband was born there) and reading fantasy romance novels. Any fellow ACOTAR people in the house?

A final fact about me is that I am also an actor. I starred in a LifeTime movie that filmed in Los Angeles last October, and it was great fun!

I am so happy to work with you all and get to know you. 😊

      Thank you for having me!!

      Welcome to the team Brenna!

What's New in the Digital Team

        Key Takeaways:

        1. Covered 588 digital reporting jobs in the month of June, totaling over 27,000 pages
        2. Hailey Grossman has received her AAERT certification and is now licensed with the state of TN
        3. Launch of Huseby Rewards Program was successful. The Huseby Rewards Program incentivizes higher page counts by rewarding those who go above and beyond

        On the Horizon:

        1. Transitioning to a different digital reporting software (RSPro) as part of the initial integration with Esquire so that all of the reporters are using the same software as a more streamlined solution
        2. Additions of hardware to our current digital reporting setups to create more uniformity between the equipment the Esquire reporters utilize and our reporters
        3. Preparing to cover North Carolina Industrial Commission work with the coverage required

        Kudos:

John Sheffield- One of our clients was very happy with the service John Sheffield over the weekend. Here is what the client had to say, "Everything went perfectly. I so appreciate you sending John. He was fantastic, courteous and prompt and produced a great product. I pushed him to send me a rough that day and he did a great job."

Rocco Franco- Stepped up to the plate in a last-minute scenario where a client needed a court reporter for an arbitration. Rocco finished his original job and immediately showed up to cover the arbitration when the scheduling team was having issues finding coverage. Thank you, Rocco, for being attentive and immediately switching over to cover the job for our client who desperately needed coverage!

Craig Ellingson- We had a client that needed us to edit audio in order to use for trial the next day. Craig stayed up late at night to ensure that the client had what they needed to get a same-day rough. Thank you Craig for your resilience and willingness to assist in the afterhours to ensure we deliver an excellent client experience!

Lauren Ladenheim put in a Kudos for Sarah Jarvis

This month I need to scream from the rooftops how lucky I am to have Sarah as part of my team. Sarah is my right-hand person here at Huseby and goes over and beyond to help me and my clients. No job is too daunting and even during our worst days, she handles everything that comes her way with a positive attitude and ease. I could not be as successful as I am without her help, and I want to make sure that you all know just how lucky we are to have her.

Sarah-you are the BEST and I appreciate you more than you know! 😊

Just a little KUDOS for our team from a newer client.

        Hi Karyn,

I hope that your day has been going well. The court hearing went very smoothly, and we were really impressed with Huseby's work and professionalism at the hearing.

Our office just submitted another request for a court reporter to Huseby for the next court hearing that is scheduled for July 24, 2024, for the same matter. We look forward to hearing from your office soon about the upcoming hearing.

Thank you very much, Karyn! Have a very wonderful rest of the afternoon.

Jessica Hutto put in a Kudos for Doug and Special Services

I am so very grateful for our Special Services team, from Ashley Hensley, Jacob Sarver and especially Chris Cook and Doug Yarborough who stepped in multiple times this week to do very early morning video edits for a client of mine who urgently needed videos clipped for trial. There was basically no warning and no heads up, just please clip these before this time which I know is not ideal for anyone. They all truly stepped up and catered to my client, getting him what he needed in the quickest turnaround I've ever seen. THANK YOU SO MUCH for taking care of him. Y'all are the BEST!!

Jessica Hutto put in a Kudos for Amanda Potter

        Thank you, Amanda!

I've had the most insane requests this week from highlighted exhibits needing to be replaced with unhighlighted versions in final transcripts to the biggest exhibit nightmare/puzzle of figuring out which exhibit was actually used and should have been marked and in the final transcript. Really those issues are nothing new, however, the person that is always there to help me when I'm drowning in madness, is Amanda Potter. You are my lifesaver everyday and I'm just so very grateful for you. Thank you for being you, Amanda!!
