Esquire Benefits

Open Enrollment

Open enrollment for Esquire's benefits plan opened October 27 and runs through November 10.  Log-in to Paycom between now and November 10 to enroll in your Esquire benefits for 2025. This is the one time each year outside of a qualifying life event when you may select coverage for you and your dependents.

Benefits Overview

  • Overall, Esquire’s health benefits are less expensive and richer in value:

    Vote Pay

    Now that we are part of the Esquire family, we will be able to take advantage of the benefits the Esquire employees enjoy. One of those benefits is to receive paid time off to vote.

    As the 2024 Presidential Election approaches, we want to ensure that everyone can participate in this important civic duty. Voting is not only a right but also a responsibility, and we encourage all employees to make their voices heard.

    To support you in this, we are pleased to announce that all full-time employees are eligible for up to 4 hours of paid leave to vote. This leave time is designed to give you the flexibility to vote early, avoiding the rush and potential long lines on Election Day.

    A special leave code will be available to you in Paychex by September 16 and remain available for use until Election Day. As with other leave requests, please coordinate with your manager and enter your request in Paychex. Requests will be approved based on a number of factors, including department operations and staffing requirements.

    We strongly encourage you to take advantage of early voting to ensure your voice is heard without the constraints of Election Day. You can find more information about early voting dates in your state by visiting this link: Early Voting Calendar.

    What's New in Technology

    New Helpdesk Support

    IT

    We’ve moved our help desk to our Esquire in-house team, and we’ve added onsite support in Charlotte every day. We pushed out updates to all our computers to let us get patches on a more current basis, and to allow us to connect remotely. We also got everyone connected to both Okta and Zoom, allowing us to use the same Zoom chat feature as the rest of our larger company. Quite a few of the teams are already using Zoom Chat as their go-to, and we expect to see that continue.

    As a reminder, here’s how to get support: Send an email to support@esquiresolutions.com, including as much detail as possible, and it will automatically create a help desk ticket. We’ll get quicker help if we make sure we avoid generic subject lines “Help!” or “Computer Issue”—please make the subject line give some detail about the true problem. If you have something that’s truly urgent, or if you can’t send an email, please call the team at (877) 223-8080. Please only call the team if this is a truly urgent matter, otherwise let’s all use email to open a ticket. Our coverage is from 8am-8pm Eastern time M-F, and we’ve worked with individual teams on after-hours coverage for high-impact emergencies.

    Salesforce

    We pushed out fixes for multiple issues with time on orders, but we still have one more to go. We’re also rolling out fixes for missing reporter invoices, issues with CODs, and several other things that have been identified as priorities. Those issues all took priority over getting the new Production sheet rolled out, but we’re planning to have that in production in early November. And, of course, that may continue to slide as we tackle high-priority issues first.

    HusebyConnect

    We’ve gotten the first set of priority enhancements and the Zoom performance fixes deployed. We’re continuing to evaluate the long-term potential for HusebyConnect when compared with the eLitigate solution our Esquire teammates have developed.


    RingCentral to Zoom

    We’ve all gotten set up in the Esquire Okta and Zoom apps, and now we’re ready to take the next step in integrating our technology with Esquire. At 11:30am ET on Friday, November 8 we’re going to move from RingCentral to Zoom as our phone system. Here’s the quick summary, more detail below:

    • All phone/voice and call routing functionality will remain in Ring Central until Nov 8th at 1130AM ET. After that cutover, everything will be live in Zoom and Ring Central will be retired except for document access
    • Existing phone numbers in Ring Central will be migrated to the new Zoom platform
    • We will keep message documents/attachments to RingCentral chats active for a week after the migration so you can save if needed
    • All Huseby employee extensions will start with 45xxx
    • Access to the new Zoom environment will be accomplished via Okta Single-Sign-On (SSO) 
    • Multi-factor authentication will be required for the new Zoom environment once per week

    What's New

    First, we’ll all be using the Zoom app instead of the RingCentral app for our phone calls. Most of you have been using Zoom quite a bit already. To help with that, you’ll find several documents in the links above that address some of the most common topics. We have to use Okta to login to the Zoom app. We’re all already doing that, but if you have any problems, please open a ticket with support@esquiresolutions.com and we’ll get you taken care of. Related to that, the MFA you use with Okta (for example, a text message with a code) will be required once per week.

    The second change is that we’re all getting new extensions. Our RingCentral extensions were all over the place, anywhere from 3 to 6 digits. On Zoom, all the Huseby extensions will be of the form 45xxx – that’s a 5-digit extension starting with 45. 

    We’ll send similar emails again (several times) before the cutover to keep it in front of you and to make sure you have it handy.

    What's New in Operations



    Production Update: Last month (September) we shipped 1825 jobs. That includes 325 expedites.

    Elizabeth Moore lead all production people with 248 jobs shipped through Salesforce. Thanks for leading the way Elizabeth!!!! Special Kudos to the Florida LAT for having the lowest average time to ship last month @ .48 days and to the Florida LAT who shipped 80% of their jobs the same day they were turned in.

    Video Update: video department is caught up with no current delays in delivery. They are looking for video edit opportunities, so sell them if you can.

    Support Update: Support processed 1400 new business emails that included 202 copy sale request emails. They also processed 292 Urgent requests from clients, reporters, and internal staff.

    Quality update: 247 issues were reported through the ticketing system in September. After investigating 47 of these where in the production department. All but 11 of these issues have been researched and closed. You can view this report to understand the issues and resolutions.

    Number one issue was attention to detail, and all the staff have received coaching to address it moving forward. Special Kudos to Shantee Chappell in production who shipped 119 orders in September with no internal or external mistakes reported.

    Case Management: Tobacco calendar thick and meaty, as always.

    McBride case still going feverishly with multiple depos per weeks, often times double and triple tracking

    In Re Juul Labs, Inc. Antitrust Litigation under way with 24 confirmed depos on calendar. First few have gone off seamlessly and with multiple copies!

    Integration with Esquire is moving nicely. Production is fulling utilizing the Zoom Chat for internal communication and project collaboration with Esquire as needed.
